The German Research Center for Artificial Intelligence (Deutsches Forschungszentrum für Künstliche Intelligenz -- DFKI) and its staff are committed to goal- and risk-oriented information privacy and the fundamental right to the protection of personal data. In this data protection policy we inform you about the processing of your personal data when visiting and using ALOE-IAO.

Purpose of processing

ALOE-IAO makes a platform available to users who wish to save and manage digital resources and links in a personal account. Users not only have access to their own saved content but also to the content saved and managed by other users. Every user can decide whether to save a resource or link for him or herself, for members of selected groups or publicly for other users. ALOE-IAO makes it possible to organize such links and resources in a variety of ways, to exchange them with other users, to evaluate them, and to provide them with personal comments.

Usage of ALOE-IAO

Visit and usage ALOE-IAO is not only possible for registered users, but also anonymous. The processed data will not be transmitted to any third parties or otherwise disclosed, except on the basis of concrete lawful obligations.

While using our web site the data transmission in the Internet is being protected by a generally accepted secure encryption procedure and hence cannot easily be eavesdropped or tampered.

Anonymous usage

In case of an anonymous usage,personal data are only collected to the technically necessary extent. Anonymous users can not post or annotate content, and selected features such as access to user profiles are not available.

Usage for registered users

The collection, processing and use of your personal data is based on the strict provisions of European and German data protection law, the policies being data avoidance, data transparency, and data security. The data collected is processed and used by ALOE-IAO and its cooperating partners only to the extent that this is necessary, legally permissible, and desired by yourself for the fulfillment of contracts concluded with you and maintenance of customer relations resulting therefrom.

Inasmuch as the website provides an opportunity to enter personal or business data (email addresses, names, postal addresses), the disclosure of such data by the user is on an explicitly voluntary basis. Entries made must be truthful. Use of all services offered is also permitted without entering such data or by entering anonymized data or a pseudonym, provided it is technically possible and reasonable. The misuse of names belonging to a natural person or legal entity or any other legally protected names is not permitted and can lead to closure of the user account.

Personal data is only collected with your knowledge and your consent having been given by means of checkbox confirmation upon registration as a user.

Access data

Access data collected outside of ALOE-IAO

On every access to ALOE-IAO some usage, transmission and connection data will be collected, temporarily stored in a log file and regularly deleted after 90 days.

On every access/retrieval the following data are stored:

  • IP address
  • transmitted user agent information (in particular type/version of web browser, operating system etc.)
  • transmitted referrer information (URL of the referring page)
  • date and time of the access/retrieval
  • transmitted access method/function
  • transmitted input values (search terms etc.)
  • retrieved page resp. file
  • transmitted amount of data
  • status of processing the access/retrieval

The processing of the access data is lawful because it is necessary for the purposes of the legitimate interests pursued by DFKI. The legitimate interests pursued by DFKI are the adaptation and optimization of ALOE-IAO and the investigation, detection and prosecution of illegal activities in connection with the usage of ALOE-IAO.

The stored data records can be statistically evaluated in order to adapt and optimize our web site to the needs of our visitors. Any techniques that offer the possibility to retrace the access characteristics of users (tracking) based on access data collected outside of ALOE-IAO will not be applied. The creation of user profiles and automated decision-making based on it is precluded.

The stored data records are not attributable to specific persons. They are generally not being combined with other data sources. However, the stored data can be analyzed and combined with other data sources, if we become aware of concrete indications of any illegal usage.

Access data collected by ALOE-IAO

For a variety of offered functionalities, ALOE-IAO stores information in a special database table for the collection of the action history when they are accessed.

On every access/retrieval the following data are stored:

  • Unique identifier of the executed action
  • Unique identifier of the requesting user (only if logged in)
  • Unique identifier of the object concerned (only if it exists)
  • Type pf the concerned object (e.g., a digital resource, a group, or another user)
  • Access date
  • Additional metadats (optional, e.g., metadata provided when contributing contents)
  • Visibility of the action rgearding the provision to others (private, only for members of a group, only for members of a group but without information about the user, public, or public but without information about the user)
  • Unique identifier of the group, if the visibility was restricted to members of a group
  • Access type (via web browser or external client)

These data are need to generate the offered push information (via feed or email) about activities concerning specific contents as well as about activities on own contents.

Using the visibilities assigned to the different actions in ALOE-IAO is is automatically ensured that only such information about activities of a user is made available to others, when it is also visible for any anonymous user in the system (e.g., the contribution of public content or a comment).

The stored data records can be statistically evaluated in order to answer specific research questions and to adapt and optimize ALOE-IAO to the needs of our visitors.

The data collected are generally not being combined with other data sources. However, the stored data can be analyzed and combined with other data sources, if we become aware of concrete indications of any illegal usage.

Cookies

We use so-called cookies in ALOE-IAO. Cookies are small files that are being stored by your web browser. The cookies used in ALOE-IAO do not harm your computer and do not contain any malicious software. T hey offer a user-friendly and effective usage of ALOE-IAO. We do not use cookies for marketing purposes.

We transmit so-called session cookies to your web browser. They are valid only for the duration of your visit of ALOE-IAO and they do not have any meaning outside of ALOE-IAO. The session cookies are needed in order to identify your session with a unique number during your visit and to transmit our contents in your preferred language. At the end of your visit the session cookies will be automatically deleted upon termination of your web browser.

We also transmit permanent cookies to your web browser with a validity period of at most 365 days. We are exclusively using these cookies in order to respect your session information for the next access of ALOE-IAO by means of a unique session identifier and in case of a logged in user with the selected user nickname, a unique user identifier, and a marker of the user status (administrator or standard user).

You can adjust your web browser such that you will be informed on setting cookies and allow cookies on an individual basis resp. exclude the acceptance of cookies for specific cases or generally. You also can adjust the automatic deletion of cookies upon termination of your web browser. Upon deactivation of cookies the functionality of our web site can be limited. In any case, our information offering is available to its full extent.

Social Media

Except of the GDPR-compliant embedding of YouTube videos we do not embed social media plug-ins in ALOE-IAO. When you are visiting ALOE no data are transmitted to social media services. Profiling by any third parties hence is precluded.

However, ALOE-IAO offers the possibility to explicitly connect your ALOE Account with further Social Media Services such as Diigo or Delicious. When such connections are established, contents provided within ALOE-IAO can also be shared with the chosen accounts. This will only happen when explicitly providing access data for the external services to ALOE. Additionally, you can choose for each contribution process if the new content shall be shared with your chosen external services. For the usage of these services we refer to the data protection policies of the respective service providers.

Correspondence

You have the option to contact us by e-mail. We will use your e-mail address and other personal contact data for the correspondence with you. Due to lawful obligation every e-mail correspondence will be archived. Subject to our legitimate interests your e-mail address and other personal contact data can be stored in our contact data base. In this case you will receive a corresponding information on the processing of your contact data.

Access and Intervention

Besides the information in this data protection policy you have the right of access to your personal data. To ensure fair data processing, you have the following rights:

  • The right to transfer of your personal data
  • The right of withdrawal of consent to the processing of your personal data
  • The right to rectification and completion of your personal data
  • The right to erasure of your personal data
  • The right to restriction of the processing of your personal data
  • The right to object to the processing of your personal data on grounds related to your particular situation

You have the right to lodge a complaint with a supervisory authority if you consider that the processing of your personal data infringes statutory data protection regulations.
